Kemp Photography runs a corporate headshot day in seven steps: booking, planning call, employee scheduling, shoot day, instant selection, retouching and delivery. Your part is small: pick a room and tell your team the day is coming. Ours is everything else, including employee scheduling.

Step by step
1. Booking
Send headcount, city and rough dates through the quote form. Kemp Photography replies with a flat-rate quote. Approve it and we lock the date.
2. Planning call
A short call covers the room, the schedule and the look. We confirm the space (about 10 by 20 feet, one outlet), how employees arrive, and any wardrobe guidance you want to send.
3. Scheduling employees
Kemp Photography provides and manages employee scheduling. We build staggered slots around your workday so the line stays short and nobody waits at the door. Employees can take part as often as they like, but a second look books a second slot so nobody else is held up. Executives can be given longer time; it only costs more if the extra time means running out of time for the rest of the team.
4. Shoot day
The crew arrives, builds the studio in about 45 to 60 minutes, and tests the light. Then employees step in, one at a time. About 2 to 3 minutes each. We coach the pose, check the frame and move on.

5. Instant selection
Right after the session, each person sees their images in a private online gallery and picks a favorite. No committee. No reply-all.
6. Retouching
Kemp Photography retouches each person's selected image. Natural, clean, consistent across the whole team.
7. Delivery and gallery directory
Finals typically arrive within 1 to 2 weeks. Your company gets its own gallery directory of all employees and their images for download, as high-resolution JPEG or PNG files named first-last. HR, marketing and web can find what they need without asking us. The gallery stays available for one year and renews when you return for an annual headshot day.
What does an on-site corporate headshot day look like?
Arrival, 45 to 60 minutes of setup, then back-to-back sessions at roughly 2 to 3 minutes each, with a short teardown at the end. A Half Day typically covers about 50 to 60 people. A Full Day typically covers 150 to 250 on one set.
| Time | What happens |
|---|---|
| Before arrival | Room confirmed, schedule set by Kemp |
| Setup (45-60 min) | Studio built, lighting tested |
| Shoot window | Employees rotate through, 2-3 min each |
| Throughout | Instant gallery selection |
| Teardown | Crew packs out, room back to normal |
| 1-2 weeks later | Retouched finals and gallery directory |
What does the office organizer need to do?
Very little: reserve a room and tell employees what to expect. Kemp Photography handles equipment, the shot list, posing and retouching. Here is your checklist.
Before shoot day
- Reserve a room of about 10 by 20 feet
- Confirm an outlet is available
- Confirm building access and loading instructions for the crew
- Announce the day to employees (Kemp Photography sends the time slots)
- Share wardrobe guidance (solid colors, comfortable, the shirt you would wear to a client meeting)
- Share parking and check-in info with the crew
- Name one point of contact for the day
On shoot day
- Unlock the room for setup
- Greet the crew and walk them to the room
- Remind late arrivals where to go
- Keep the hallway traffic flowing
After
- Share the gallery directory with HR and marketing
- Remind people to pick their favorite if they have not
- Tell us about new hires for the next visit

What about new hires and absentees?
Kemp Photography can handle new hires with return visits that match the original look. Same lighting, same background recipe. Each visit has a half-day minimum, so batch new hires into one follow-up day. We recommend hosting one or two headshot days per year.
For multiple offices, see multi-office headshot programs.
How it works FAQ
How long does each person take?
About 2 to 3 minutes in front of the camera. Kemp Photography coaches the pose and expression, so nobody has to figure it out alone.
How much space do we need?
A room of about 10 by 20 feet and a power outlet. A conference room, training room or open corner of an office usually works.
Do employees have to book a time slot?
Yes, and Kemp Photography handles it. We provide and manage employee scheduling in staggered slots, so your organizer does not need to build a sign-up sheet. Employees can take part more than once, but a second look books a second slot so others are not held up.
When do we get final images?
Employees see images instantly and pick a favorite on shoot day. Retouched finals typically arrive within 1 to 2 weeks.
What happens if someone is out on shoot day?
Kemp Photography can discuss options on the planning call, including a follow-up visit for new hires.
