Cost & booking
How much do corporate headshots cost for a team?
Kemp Photography charges a flat day rate, not a per-person fee. A Full Day starts at $4,850 and typically covers about 150–250 people. A Half Day ($3,600) typically covers about 50–60. Travel is built in. Spread across a full house, that works out to roughly $24–$32 per person. That figure is illustrative, because you buy the day, not the head.
Why does a team headshot day cost less per person than studio pricing?
The expensive parts are fixed: crew, gear, travel and setup. Kemp Photography pays them once, then photographs people back to back at roughly 2–3 minutes each in front of the camera. Studio pricing charges you for a fresh booking, a fresh setup and a fresh edit every time. A team day charges you for one setup and a full room.
Are there travel fees or hidden costs?
No. Travel from Orange County, CA is built into one inclusive flat rate, and Kemp Photography does not add hidden fees. You pay for the day, wherever your office is in the US.
What is included in the price?
The Kemp Photography crew, a full portable studio with professional equipment, back-to-back photography of your people, instant preview in a private online gallery where each person picks a favorite, one retouched image per person, employee scheduling managed by Kemp, and a company gallery of every employee's images for download. Group composites are an optional add-on.
How many retouched images does each person get?
One retouched image per person is included. Each employee picks a favorite in a private online gallery, and Kemp Photography retouches that one as part of the day rate. Want more? Extra retouched images can be purchased in the gallery for $50 per image. One clean, consistent image per person is what the whole process is built around.
How do I get a quote?
Call (714) 912-0766 or send a request through the contact page using your company email address. Tell Kemp Photography your headcount, office locations and rough dates. We reply within 24 hours. Day rates are published, so a single-office team day is simple to price. Multi-set and multi-office programs are quoted. Billing details are handled when you book.
How far in advance should we book?
Plan on about 14 days, depending on the schedule. More notice gives you more date choices. A 50% retainer reserves your date. Kemp manages employee scheduling, so you mostly need a room, an outlet and a heads-up to your team. Multi-office programs need more runway, so ask early. The planning guide lays out the full timeline.
Logistics
How many people can you photograph in one day?
A Half Day typically covers about 50–60 people. A Full Day typically covers about 150–250 people per set. Larger groups, up to about 250 in a full day, are quoted. Bigger programs run as multiple sets or days. At one Nashville office, Kemp Photography handled 100+ sessions over two days in August 2025.
How long does each headshot take?
About 2–3 minutes per person in front of the camera. Allow a little extra for walking in and out. That is why a team of 150 fits in one day and nobody loses an afternoon. Employees see their images right away and pick a favorite from a private online gallery.
How much space do we need?
Kemp Photography prefers a space about 10 feet wide by 20 feet deep with roughly 10-foot ceilings, plus one electrical outlet. A conference room, a training room or a quiet corner of an open floor can work. The crew builds the studio inside it.
What equipment do you bring?
Kemp Photography brings a full portable studio built on professional equipment: lighting, backdrops and cameras. You do not supply any of it. You supply the room and the outlet. The same setup travels to every office, which is how multi-site teams get matching results.
How do employees schedule their slot?
Kemp Photography provides and manages employee scheduling, so your organizer does not have to build a sign-up sheet. Staggered slots keep the line short and keep people at their desks until it is their turn. Your organizer announces the day, and Kemp handles the slots. The planning guide includes a sample announcement email.
Will headshot day disrupt the workday?
Barely. Camera time is roughly 2–3 minutes per person. With staggered slots, people step away from their desk briefly and go right back. The bigger disruption is usually an unmanaged line, which is why Kemp manages the schedule and the planning guide includes a day-of run sheet you can copy.
What does the office organizer need to do?
Three jobs: book a room with an outlet, announce the day with a what-to-wear note, and assign someone to keep the line moving. Kemp Photography handles everything else, including employee scheduling. The headshot day planning guide has a timeline, an announcement email template and a run sheet.
Can you shoot at our office in my city?
Yes. Kemp Photography's internally trained crew travels from Orange County, CA to offices anywhere in the US. Past job locations include Nashville, Newark NJ, Denver, Phoenix, Tucson, Las Vegas, Los Angeles and Orange County. We travel to you. We do not run local studios, and we do not subcontract.
Do you work in a studio, or only on-site?
On-site only. Kemp Photography builds a portable studio inside your office, so employees walk down the hall instead of across town. That is the whole offer on this site: team headshot days at your location. It also means no one needs time off or a ride to a venue.
What if our building has load-in rules?
Many office towers have load-in rules: freight elevators, parking, security check-in, certificates of insurance. Tell your property manager the crew is coming and ask what they require. Yes. A certificate of insurance (COI) is available for building management on request. Send those requirements with your quote request.
Look & style
What should employees wear?
Solid colors, a comfortable fit and what you would wear to a client meeting. Skip busy patterns and anything you would have to adjust constantly. Bring a backup layer. Check which background your team is shooting against, since your clothes should contrast with it. Details are in our what-to-wear guide.
Can you match our existing headshot style?
Yes. Send reference images of your current headshots, and Kemp Photography will match that look at no extra cost. If a refresh is the goal, say so. One clean, consistent set across the whole team usually beats a perfect match to a pile of mixed old photos, and we will tell you which approach fits.
How do you keep headshots consistent across offices?
Multi-office companies get the same lighting and background recipe at every site, and the same lead photographer where possible. Kemp Photography uses its own internally trained team rather than local subcontractors, so the look does not change when the zip code does. One Sentry Insurance project covered offices in 12 states.
What background options do you offer?
Any color is available: white, gray, your brand colors or something else. Pick one background for the whole company. A single background across every person is what makes a team page look intentional instead of assembled from a hundred different photos.
Is retouching included, and how natural is it?
Retouching of each person's selected image is included in the day rate. The standard covers blemishes, flyaways, skin tone, teeth, eyes, lint, wrinkles and contouring. A good rule: employees should look like themselves on a great day, not like a different person. Ask any vendor for before-and-after samples.
Do you offer hair and makeup?
Yes. Hair and makeup is offered for your shoot day, so ask about it when you request a quote. Kemp Photography also offers a pamper station add-on at $650 per day. Without either, tell employees to arrive camera-ready with a comb, lip balm and touch-up basics. A mirror near the shoot room helps more than you would think.
How do you handle executive portraits?
Executives are photographed on the same background and lighting as everyone else, so the team page looks unified, and longer time can be allotted for them. It only costs more if the extra time means running out of time for the rest of the team. Tell Kemp upfront if leadership wants extra time.
Can new hires be photographed later in the same style?
Yes. Kemp Photography uses a repeatable lighting and background recipe, so new hires can match the team. Each visit has a half-day minimum, so batch new hires into a single follow-up day. We recommend hosting one or two headshot days per year, which keeps the team page current.
Delivery & usage rights
How long until we receive final headshots?
Final retouched images typically arrive within 1–2 weeks of the shoot. Employees see their images right away and pick a favorite from a private online gallery, so selections happen fast even though final retouching takes longer. Need a hard deadline, such as a website launch? Tell Kemp Photography upfront.
How are images delivered?
Everyone gets a private online gallery, and your company gets its own gallery directory of all employees and their images for download. Files are high-resolution JPEG or PNG, each named first-last, which makes website and HRIS uploads simple. Galleries are kept for one year, renewed when your company returns for an annual headshot day.
Do we get RAW files?
No. Kemp Photography does not provide RAW files. The deliverable is the retouched, high-resolution JPEG or PNG, named first-last. If your marketing team has a specific need, such as extra retouched images or group composites, bring it up when you request a quote so it is settled in writing before the shoot.
Who owns the rights, and what is the usage license?
Once paid, the company and each pictured employee may use their headshots for any commercial purpose, indefinitely, including on the website, LinkedIn, press, print, ads and directories. Kemp Photography keeps copyright and may show non-confidential work in its portfolio. Ask for the license in writing before you book. Any vendor should be able to tell you in one sentence who can use the images, where, and for how long.
Can you provide files sized for LinkedIn and the website?
Standard crop is 8x10, which works for team pages and LinkedIn. Other ratios are available on request. Tell the organizer where headshots will end up before the shoot, such as the team page, LinkedIn or email signatures. Framing and crop can be planned in advance, which is far easier than fixing it afterwards.
Multi-office & special cases
Can you cover multiple offices?
Yes. Kemp Photography coordinates team headshot days across multiple offices with the same lighting and background recipe, and the same lead photographer where possible. For one Sentry Insurance project, we delivered 552 headshots across offices in 12 states within about a month. Larger rollouts are quoted.
What about remote employees?
Kemp Photography travels to offices nationwide so the look stays consistent. Remote staff typically join at the main office or at a company event, and the crew photographs them there. Tell remote staff the options early so they can plan to be in the right place on the right day.
What if someone is absent on shoot day?
Build in a few spare slots and keep a waitlist for walk-ups. The planning guide includes a run sheet that handles no-shows without stalling the line behind them.
Are AI headshots a good alternative for a company?
AI headshots are cheap and fast, and fine for some uses. They can drift from how a person actually looks, produce uneven results across a team, and leave employees uneasy about their own faces. A real photographer produces consistent, true-to-life results. Read our full comparison for when each makes sense.
Will it be the same photographer, and how are they vetted?
Kemp Photography does not subcontract. Every shoot is staffed by our internally trained crew, and for multi-office work we use the same lead photographer where possible. Founder and lead photographer Alex Kemp has been shooting corporate headshots for 13+ years. You know who is showing up and how they were trained.
How often should we update company headshots?
Refresh when your look dates or your team changes. A common rule of thumb is every two to three years, plus new hires as they arrive. Old, mismatched headshots on a team page quietly signal the opposite of what you want. If the photo is older than your last logo, it is overdue.
