How a headshot day works in a Boston office
Boston buildings run from glass towers in the Seaport to nineteenth-century brick and beam in the Financial District and Cambridge. Elevators in older buildings can be small, and loading docks can be shared. We ask about both on the first call.
- Book. You send headcount, address and target dates. A 50% retainer reserves the day.
- Room and access. One space of roughly 10 by 20 feet with an outlet. Tell us about elevators, dock hours and any lab or badge rules.
- Setup. About an hour before the first session, the crew arrives and builds the set.
- Shoot. Two to three minutes per person, scheduled so benches and desks stay staffed.
- Select. People review images right away or online and choose a favorite.
- Deliver. The chosen image is retouched, and finals typically arrive in one to two weeks.
Compact gear is an advantage in older buildings. The kit fits through standard doors and a modest elevator, so a converted mill or a narrow Back Bay floor is workable. For campus-style offices out on Route 128, plan for a short walk from the parking lot to the room.

Can you work in a lab or biotech office with restricted areas?
We stay in the area you assign, usually an ordinary conference room or open space outside the lab zones. Employees step out for two to three minutes each. Tell us any badge, escort or gowning rules at booking. A COI is available on request if your facilities team wants one.
How should we plan for winter?
Plan for people, not for us. Snow can affect commutes, so schedule a flexible window and let staff know their slot in advance. Our crew arrives about an hour early to set up regardless, which gives the first people some margin. If a storm closes the office, we reschedule around availability.
Do you shoot suburban offices like Waltham or Burlington?
Yes. Route 128 and Route 495 office parks are routine for a traveling crew, and they tend to offer easy parking and ground-floor access. Give us the address and the room, and we plan the load-in from there. Many of these buildings also have a dock, which keeps the crew out of the lobby.
When do new hires and remote staff get photographed?
Most Boston teams schedule the day when remote employees are in anyway. Later hires can be added to a future visit, and we match the lighting and background so they blend in. A 50% retainer reserves the date for the main shoot.
How do we keep photos consistent with our other offices?
We use the same lighting and background recipe in every location and try to keep the same lead photographer. If your headquarters is elsewhere, your Boston team still looks like part of the same company when both pages sit side by side.
