How a headshot day works in a Chicago office
The Loop is full of office buildings with real procedures: a dock, a freight elevator, a service entrance and a vendor insurance requirement. None of that is a problem if you know it ahead of time. We ask about all of it on the first call.
- Book. You send headcount, address and preferred dates. A 50% retainer reserves the date.
- Vendor paperwork. Share the building's rules. We provide a COI on request.
- Pick the room. Roughly 10 by 20 feet with an outlet. In towers, a mid-floor conference room away from the main entrance works well.
- Setup. We arrive about an hour before the first session and build the studio.
- Shoot. Two to three minutes per person, scheduled in slots by department or practice group.
- Select and deliver. Staff choose a favorite, we retouch it, and finals typically land in one to two weeks.
In winter, the lobby is the busiest room of the day. Give people a place to drop coats and set expectations for slot times. A little planning keeps the line out of the hallway.

Yes, that is standard Loop procedure. Send us the building's vendor rules and we plan around the dock hours and elevator reservations. We provide a certificate of insurance on request. Our compact kit rides a freight elevator, and the crew arrives about an hour before the first session.
Is the suburban office easier than downtown?
Often, yes. Oak Brook, Schaumburg, Naperville and Rosemont offices usually have surface parking and ground-floor access, which shortens setup. Downtown buildings add garages, docks and elevators. Either way we need only roughly 10 by 20 feet and an outlet, so the real question is how the crew gets in the door and how people get to the room.
When should a Chicago firm book?
